The short answer

How can I check an electronic apostille without relying on an unofficial validation website?

Use the issuing competent authority’s verification channel and preserve the original electronic file. A printed screenshot can lose digital-signature information; a successful apostille check still does not verify the underlying document’s contents.

Keep the digital original

An electronic apostille is more than a picture of a paper certificate. Preserve the delivered file and attachments rather than printing and rescanning it as the only copy. Ask the authority how the apostille is linked to the underlying public document.

Navigate from an official authority listing

Use HCCH’s competent-authority information to locate the issuer, then follow its official verification instructions. Avoid entering personal document details into a look-alike website found in an unsolicited message. HCCH’s Permanent Bureau does not issue or verify individual apostilles.

Interpret the result narrowly

A register match addresses issuance information within that system. It does not establish that the attached qualification is equivalent, that a civil fact is sufficient evidence or that a recipient no longer needs translation. Raise an unexplained mismatch with the issuing authority.

A practical review for this handoff

A verification reference and a digital signature can offer different checks. Follow the issuer’s instructions for each rather than treating a screenshot of a successful lookup as the electronic original. If the document is forwarded, preserve its attachment structure and ask the recipient whether it needs the original file instead of a printed copy.

Use the issuing authority's verification route

An electronic apostille can be a digitally issued certificate, while an electronic register can provide a way to verify a paper or electronic certificate. These are related but different functions. Start with the competent authority identified through the HCCH information and follow that authority's verification instructions. An unrelated website displaying a successful result is not a substitute for the issuing authority's record.

Read which fields the register checks. A certificate number and date may locate an entry without displaying the entire underlying document. Compare the returned signer, capacity or other available details with the apostille in hand. A verification result concerning one certificate should not be generalized to another attachment sharing a similar filename. Keep the certificate and its associated public document connected.

Preserve the electronic original and readable companion

Printing a digitally signed file can produce a readable paper copy while losing the electronic signature's validation features. Keep the original file supplied by the authority, not only a screenshot or scanned printout. If a recipient asks for paper, determine whether that copy is acceptable rather than assuming that printing changes an electronic certificate into a separately issued paper apostille.

For an illustrative check, open the certificate in a suitable reader, inspect any authority-provided validation information and compare the official register entry through the authority's own site. Save the reference needed to repeat the check without publishing personal record data in a shared link. Translation should preserve the certificate's identifying text and verification reference; it does not independently validate the digital signature. A missing register result may require contact with the authority, especially where the register's stated coverage excludes older certificates, rather than an immediate conclusion that the document is false.
