Name the document precisely

A conscription registration, service booklet, discharge certificate and reserve record can describe different stages. Keep the title, issuer and record number. A document stating exemption or deferment should not be described as completed service simply because it belongs to a military file.

Preserve rank and status without invented equivalence

Ranks and classifications do not always map neatly onto U.S. titles. Retain the source term where needed and distinguish an explanatory translation from a formal equivalency determination. Dates of enlistment, active service, transfer and discharge should remain separately labeled.

Inventory endorsements across the booklet

Service booklets often carry stamps, promotions and later reserve annotations on different pages. Supply a page inventory and readable images. Ask the recipient which set is required before omitting pages that appear blank or administrative. Security restrictions and lawful access require the issuing authority’s instructions.

Keep service events and classifications distinct

Military records may combine enlistment, assignment, training, reserve obligations and discharge information. Translate the event labels and their dates separately rather than turning the entire period into active service. A reserve registration, draft eligibility notation or exemption can describe a different relationship to the military from actual deployment. Rank, specialty and unit designations also serve different purposes and should not be merged into an invented civilian job title.

An example review might compare a service book showing an induction date, a transfer to reserve status and a later discharge. The English version should allow those three stages to be followed without adding a conclusion about continuous service between them. Abbreviated ranks and unit names may require a translator's explanatory note, but that note should be identifiable as an explanation rather than text printed in the original.

Assemble the service record named by the destination

The Department of State civil-document guidance includes military records where applicable and directs readers to country-specific document information. A veteran identity card, service booklet and discharge certificate can overlap without containing identical details. Check which document is requested before translating every available item. A cover and one identity page may identify the holder while omitting the pages that record the service history the recipient needs.

Create a page inventory that includes unused-looking pages when they carry stamps, corrections or continuation references. If a branch changed its name, preserve the historical issuer rather than substituting a current agency from online research. For dates, distinguish service completion from the date a replacement certificate was issued. During the final comparison, follow personal identifiers across the booklet and attached certificates so that a stamp belonging to a unit or administrative office is not mistaken for a personal decoration or a finding about the person's conduct.
