The short answer

What should a translated payslip show without overstating income or employment?

Preserve the pay period, employer, employee, gross amounts, deductions and net pay as recorded. A payslip translation does not verify employment, annualize income or decide whether the document meets a financial evidence requirement.

At a glance

  • Preserve the pay period, employer, employee, gross amounts, deductions and net pay as recorded.
  • Check period and payment-date labels.
  • Use the free checklist to organize the handoff before ordering a paid service.

Follow the payroll structure

A payslip can include current-period and year-to-date columns, reimbursed expenses, bonuses or unpaid leave. Translate column headings carefully so a cumulative amount is not mistaken for a single payment. Separate the work period from the actual payment date and keep any payroll identifier visible.

Avoid unrequested financial calculations

Do not multiply a recent payment to create annual income within the translation. Currency conversions, tax calculations and benefit valuations are separate analyses. Preserve negative adjustments and deductions even when they make the net payment lower than a headline salary figure.

Compare source consistency without certifying authenticity

Check the spelling of employer and employee names against the visible source and related employment letter. A discrepancy should prompt a question rather than a silent correction. Translation communicates the payslip; it does not establish that the employer issued it or that work authorization existed.

A practical review for this handoff

When several payslips cover an irregular work pattern, keep each period identifiable instead of combining them into one translated total. A bonus, correction or delayed payment can distort an apparent monthly figure. If a recipient asks for income analysis, supply the recorded figures and obtain the appropriate separate analysis rather than inserting an annualized conclusion into the translation.

Read the pay period and compensation components

A payslip may report basic pay, overtime, allowances, reimbursements, deductions and cumulative totals. Preserve the distinction between gross earnings and take-home pay. A reimbursed expense is not necessarily wages, and a year-to-date figure is not the amount paid in the current period. Keeping those captions visible allows a reader to compare payslips without overstating recurring income.

An example set might include a monthly payslip with a one-time bonus and a separate bank credit. The payslip describes the employer's calculation, while the bank entry describes a payment reaching an account. Their dates and amounts may differ because of deductions, split payments or reporting periods. Translate each source on its own terms instead of forcing them into a single figure or asserting that one proves the other.

Keep employment identifiers attached to each pay record

The employee name, employer or payroll entity, employee number and work period link the payment information to a person and source. A payroll processor's name is not necessarily the employing company's name. A department or job code may be an internal label rather than a complete occupational description. Ask for the legend or explanatory source if that code matters to the recipient.

USCIS foreign-language evidence instructions apply when these records are submitted to USCIS, but they do not decide how many payslips a particular case needs. Assemble the periods actually requested, including continuation pages and explanatory totals. Review negative signs, unpaid-leave deductions and currency codes against the images. Where a source contains both original and corrected payslips for the same period, label them separately and identify the correction rather than adding their totals. This makes a payment history intelligible without turning translation into employment verification or financial analysis.

Common questions

Can a translator calculate my annual salary?

That is separate from translation. Preserve the original pay period and label any requested calculation independently.

Sources: Policy Manual: evidence

Is year-to-date pay the current payment?

No. Keep cumulative and current-period columns clearly distinguished.

Sources: Policy Manual: evidence

Should reimbursements be called salary?

Preserve their source classification. Do not relabel expense repayment as earned wages.

Sources: Policy Manual: evidence

Does certification prove authorized employment?

No. It addresses translation accuracy, not employment authorization or document authenticity.
