The short answer

How should translation handle a stamp or note outside the main document text?

Include visible words in seals, stamps and margin notes within the agreed scope. Preserve their location and relationship to the main record; an official-looking mark does not become authenticated merely because it has been translated.

Locate the note in the document’s structure

A margin entry may amend a date, record a later event or refer to another registry item. Identify where it appears and which text it affects. Do not move a later annotation into the main narrative as though it had been part of the original entry.

Communicate features without impersonating the issuer

A translator can label a seal, signature or stamp and render readable text. Graphic duplication of official marks is unnecessary for understanding and can confuse the translation with an original certificate. Keep descriptions visibly separate from the issuer’s words.

Review overlapping and unreadable marks

Several stamps may cover each other or obscure a number. Supply a clear image and ask for explicit handling of unreadable portions. A stamp’s presence does not prove its authenticity or legal effect; those questions require the issuing or receiving authority.

Locate each endorsement and identify its purpose

A stamp beside a signature can identify the signer, certify a copy, register an event or acknowledge receipt. Those functions are not interchangeable. Translate readable wording and preserve its placement relationship to the relevant signature or entry. A generic official stamp label may miss a qualification such as copy only or an authority's correction of a specific field.

Marginal notes can be later than the central record. An annotation may refer to a marriage, divorce, adoption or amended spelling by a separate register number. Retain that date and reference rather than incorporating the new information into the original text without explanation. The distinction between the original entry and a later amendment helps a reader understand why another document uses different information.

Handle overlapping marks without recreating official graphics

Seals and stamps may overlap typed text or handwriting. Supply a full-color scan where possible, plus a close-up that preserves context. If one mark obscures another, the translator should identify the unreadable portion instead of reconstructing it from the shape of a familiar seal. A faithful translation can describe a seal and translate its readable words without drawing a replacement official emblem.

For a practical check, mark every visible endorsement on a source copy and find its corresponding translation or descriptive label. Include the reverse and any attached certification page, since an endorsement may certify the copy rather than the underlying event. USCIS evidence instructions concern a full English translation of submitted foreign-language material; omitting small edge text can defeat that objective. If a stamp merely says that an attachment forms part of the record, locate that attachment rather than treating the stamp as proof that the missing pages were supplied. A colored imprint that is readable on the original may vanish in a grayscale copy, so compare the scan with the physical document before approving source completeness.
